Quick Start Guide for Researchers & Callers
Home Dashboard
The home page shows widgets with your most important data:
- High Value Opportunities — top opportunities sorted by pipeline score
- Upcoming Follow-ups — records with follow-up dates coming up
- Activity Stream — recent changes across the system
If the dashboard looks empty: Click the gear icon on the dashboard and select "Reset to Default" to get the Surplus Funds widgets.

Finding Opportunities
Opportunities are surplus fund cases — each one represents a property where excess funds exist after a tax sale or foreclosure.
- Click Opportunities in the left sidebar under "Surplus Funds"
- Use the search bar at the top to find records by owner name, property address, or county (e.g., type "Brevard" or "123 Main St")
- Use filters (click the funnel icon) to narrow by status, surplus amount, skip trace status, etc.
Tip: Most fields in the list view can be edited inline — hover over a field and click the pencil icon to change it without opening the record.
Adding Contacts to an Opportunity
Contacts are the people associated with a surplus case — property owners, heirs, lienholders, etc. Phone numbers and emails live on the Contact record and appear automatically in the opportunity's Contacts panel.
Step 1: Open the Opportunity
Click the opportunity name in the list to open its detail page.
Step 2: Scroll to the Contacts Panel
Below the opportunity details, you'll see the Contacts panel. This shows all people linked to this case with their phone, email, role, and status.
Step 3: Click the + Button
- Click the + button on the Contacts panel header
- In the Contact field, start typing a name to search for an existing contact
- If the person doesn't exist yet, click the arrow icon next to the Contact field to create a new Contact
- Set the Role (Owner, Former Owner, Heir, etc.)
- Click Save
Tip: When creating a new Contact, add their phone number and email right away. These will automatically show in the opportunity's Contacts panel.
Step 4: Adding Phone/Email to an Existing Contact
- Click the contact's name in the Contacts panel — this opens their Contact record
- Click the Phone or Email field at the top of the Contact page
- Type the number/email and press Enter or click the checkmark
- Navigate back to the opportunity — the phone/email now appears in the Contacts panel
Making Calls
Phone numbers in the Contacts panel are clickable.
- Click a phone number in the Contacts panel
- A call popup appears with the contact name and number
- Click Dial — your phone/dialer opens and a timer starts
- After the call, select the Status (Spoke to Target, No Answer, Left Voicemail, etc.)
- Add any Notes about the conversation
- Click Save Call — this logs an outreach record automatically
Tip: Press Esc to close the call popup without saving.
Key Fields Explained
Hover over any field label in the CRM to see a tooltip explaining what it means. Here are the most important ones:
- Status — Where the opportunity is in the pipeline (New → Researching → Outreach Ready → Contacted → Signed → Converted)
- Surplus Amount — How much excess money is held by the court
- Claim Window — Yellow = lienholders have priority (first 120 days in FL). Green = property owners can claim freely.
- Skip Trace — Whether contacts have been looked up (Not Started / In Progress / Complete)
- Retained — Checked = this is our active claim, protected from cleanup
- Claimed — Checked = another party has already filed a claim on this surplus
- DNC — Do Not Call status (Unverified / Cleared / Do Not Call)
- Prior Claim — Whether we've verified if another firm has claimed (Unverified / No Prior Claim / Claim Filed / Court Order Issued)
- Score — Automated 0-100 score based on surplus, claim window, contactability, and qualification
Workflow for Researchers
- Filter opportunities by Skip Trace = Not Started
- Research each opportunity — verify property, find owners
- Add contacts with their roles (Owner, Heir, etc.)
- Add phone numbers and emails to contacts
- Update opportunity status to Outreach Ready when contacts are found
Workflow for Callers
- Filter opportunities by Skip Trace = Complete and Status = Outreach Ready
- Open an opportunity and review the details
- Click a phone number to dial — the call popup logs the attempt
- After the call, update the call status and add notes
- Update the Cooperation Status on the contact (Cooperative / Unresponsive / Hostile / DNC)
- If interested, update opportunity status to Interested or Agreement Sent
Navigating Between Records
- Opportunity → Contact: Click the contact name in the Contacts panel
- Contact → Opportunity: On the Contact page, the Claims panel shows linked opportunities — click the opportunity name
- Opportunity → Property: Click the Property link in the Relationships section
- Opportunity → Source: Click the Source URL to view the original county listing
Important: Don't delete records — use status fields to mark them (Bad Data, Disqualified, Do Not Call). Deleted records can't be recovered.
